By accessing this website, submitting an inquiry, or booking services with West Tents & Co., you agree to the following Terms & Conditions.
1. Services
West Tents & Co. provides high peak pole tent rentals, sailcloth pole tent rentals, lighting, and related event infrastructure services throughout Idaho, Eastern Oregon, Western Wyoming, and Northern Idaho. All services are subject to availability and a signed rental agreement.
2. Insurance
West Tents & Co. is fully insured for events and venues. Proof of insurance may be provided upon request. Clients are responsible for obtaining any additional event insurance required by their venue or municipality.
3. Reservations & Payments
A reservation is secured only upon:
• Signed rental agreement
• Non-refundable deposit
• Written confirmation from West Tents & Co.
All deposits are non-refundable.
Final payment is due 45 days prior to the scheduled event date. Failure to remit final payment by the due date may result in cancellation of services without refund of prior payments.
4. Cancellations
Cancellations must be submitted in writing.
Cancellations made 90 days or more prior to the event date may qualify for a refund of payments made beyond the initial non-refundable deposit.
Cancellations made within 50 days of the event date require full payment of the contracted amount, regardless of whether services are executed.
All deposits remain non-refundable under any circumstance.
5. Weather & Force Majeure
Outdoor events are subject to changing weather conditions. While our structures are designed to provide protection from sun and rain, severe weather, natural disasters, government restrictions, or other circumstances beyond our control may require modification, delay, or cancellation for safety reasons.
West Tents & Co. shall not be held liable for circumstances beyond our reasonable control.
6. Site Requirements
Clients are responsible for:
• Ensuring clear access to installation areas
• Disclosing underground utilities
• Securing required permits
• Providing safe and level ground conditions
West Tents & Co. reserves the right to refuse installation if site conditions are unsafe or misrepresented.
7. Limitation of Liability
West Tents & Co. shall not be liable for indirect, incidental, or consequential damages arising from the use of rented equipment or services.
Liability is limited to the total amount paid for services rendered.
